Overview

Cooling Castle Barn is a unique and intimate wedding venue located in the wilds of the North Kent marshes. They have weddings running on a daily basis and also provide accommodation for wedding guests. Everything is managed from their online management portal which also allows clients to plan their wedding themselves. We were tasked with upgrading the booking system for their weddings and accommodation.

Aims

  1. Make the portal mobile friendly for staff and customers
  2. Encourage clients to make more use of the portal, freeing up staff time
  3. Provide additional admin functionality within the portal

Our Role

Cooling Castle have a team of around 20 people who all need access to review and update booking information - everyone from the receptionist to the head chef relies on this information for the smooth running of each and every event that takes place. It was therefore vital to keep the system running fully throughout the upgrade and to ensure it provides all users with everything they need to do their respective jobs.

The work was divided into 3 projects.
  1. Rebuild of wedding management admin.
  2. Rebuild of client facing portal.
  3. Creation of new client wedding planner app.
Diligence Digital provided the planning, design, build and ongoing support for each of the 3 projects.

The Results

The new administration system is fully responsive, allowing users to access it on tablets and mobiles as well as desktops. It integrates fully with the new client-side wedding planner, allowing the Bride and Groom to configure menus, plan the seating arrangements and much more. Cooling castle barn staff use it on a daily basis to manage every aspect of the weddings that take place there and are very happy with the effectiveness and efficiency it provides. The app launched in early 2018 and has been instrumental in encouraging clients to update and plan their weddings effectively.

We continue to provide support and further enhancements to the new system and are looking forward to continuing our relationship with Cooling Castle Barn.
